PROQUAL ACADEMY ("we", "us", "our") respects your privacy and is committed to protecting the personal data you share with us. This policy explains what we collect, why, and how we handle it.

1. Information We Collect

When you enroll in a course or make a payment, we collect:

• Full name
• NIC or passport number
• Email address and phone number
• Postal address and city
• University / organization (optional)
• Payment-related details such as order ID, amount, currency, and transaction status
• Your WhatsApp number, a record of when and how you agreed to receive WhatsApp messages, the WhatsApp messages we send you (with their delivery status), and any reply you send us

We do not collect or store your card or banking details. All card payments are processed directly by PayHere, our payment gateway.

2. How We Use Your Information

• To process your course enrollment and payment
• To verify your identity and student records
• To send you payment confirmations and course information
• To contact you with workshop schedules and joining details (including via WhatsApp using the number you provide)
• To maintain our internal records and meet legal obligations

3. WhatsApp Messages

We use the WhatsApp Business Platform, provided by Meta, to send messages to students and workshop participants. We only send WhatsApp messages to people who have agreed to receive them.

What we send:

• Workshop and training reminders, including joining details
• Payment confirmations and receipt numbers
• Notices that your certificate is ready, with a link to view or verify it
• Announcements about new batches and programmes (only if you agreed to these)
• Replies to questions you send us on WhatsApp

How we get your permission: when you tick the WhatsApp box on our registration or payment form, when you send us a message such as "YES" on WhatsApp, or when you tell us in writing that you want to receive messages. We keep a record of when and how you agreed.

Meta / WhatsApp: messages are delivered through WhatsApp, which is operated by Meta. Meta processes message content and phone numbers to deliver the messages under its own terms (WhatsApp Business Terms and WhatsApp Privacy Policy). We do not sell your phone number or share it with advertisers.

How to stop messages: reply STOP to any of our WhatsApp messages and we will stop sending you messages and confirm this to you. You can also e-mail us at the address in the Contact section. You can start receiving messages again at any time by replying START.

4. How We Protect Your Data

• Our website uses HTTPS encryption.
• Payment processing is handled by PayHere over a secure, encrypted connection.
• Access to student and payment records is restricted to authorized academy staff.

5. Sharing Your Information

We do not sell or rent your personal data. We share information only where necessary:

• With PayHere, to process your payment
• With Meta (WhatsApp), to deliver WhatsApp messages to you
• Where required by law or a valid legal request

6. Data Retention

We keep your enrollment and payment records for as long as necessary to provide our services and meet legal and accounting requirements.

7. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting us. We will respond in line with applicable data protection requirements, including Sri Lanka's Personal Data Protection Act.

8. Data Deletion Requests

To ask us to delete your personal data, including your WhatsApp contact record and message history:

1. Send an e-mail to proqualacademy@gmail.com with the subject "Data deletion request".
2. Include your full name and the WhatsApp phone number (and e-mail address, if you registered with one) that you want us to delete, so that we can find your record.
3. We may ask you to confirm the request comes from you, for example by replying from the same phone number.

We will delete your data and confirm to you when this is done, normally within 30 days. Some records must be kept longer because the law or our accounting requires it (for example payment records) or because they are needed to verify a certificate we issued to you. We will tell you if we have to keep anything and why. You can also reply STOP on WhatsApp at any time to stop messages without deleting your data.

9. Cookies & reCAPTCHA

Our website uses Google reCAPTCHA to protect forms from automated abuse. This service is subject to Google's Privacy Policy and Terms of Service.
